What personal data we collect

We collect personal data from you in two main ways: when you submit our contact form, and passively through our website infrastructure.

From forms you submit

  • Your name
  • Your email address
  • Your phone number, if provided
  • Any message content you include

Passively via our infrastructure

  • Standard server logs (IP address, browser type, pages visited, referring URL, timestamp) collected by our hosting provider for security and performance monitoring

Why we use your data

  • Responding to enquiries. When you complete the contact form we use your details to reply to your enquiry and arrange the requested Discovery call.
  • Sending relevant communications. If you consent, we may send you occasional updates about Time Back services relevant to your enquiry.
  • Site security and performance. We use server logs to monitor for security threats and to keep the site running.

Legal basis for processing

Under UK GDPR we rely on the following legal bases:

  • Contract, or steps prior to entering a contract. When you contact us to enquire about our services.
  • Legitimate interests. For site security, performance monitoring and responding to general enquiries. Our legitimate interest is running our business and providing a working website.
  • Consent. For any marketing communications. You can withdraw consent at any time.

Who we share your data with

We do not sell your personal data. We share it only with the following processors, who help us run the website and respond to your enquiries:

  • Formspree. Form submissions provider. When you submit our contact form, your details are sent to Formspree, which forwards the enquiry to us by email. Formspree processes data in accordance with its own privacy policy and data processing addendum.
  • Vercel Inc.Website hosting. Server logs and requests pass through Vercel’s infrastructure. Vercel processes data in accordance with its own privacy policy and data processing addendum.
  • Sanity.io. Content management system. Sanity stores website content (marketing copy, images) but does not store personal data submitted through our forms.

We may also share your data if legally required (for example, in response to a court order or regulatory investigation).

Where your data is stored

Our website data is stored in Europe. Our hosting provider (Vercel) uses infrastructure across multiple regions. Where personal data is transferred outside the UK or EEA, we rely on Standard Contractual Clauses (SCCs) or equivalent safeguards.

How long we keep your data

  • Enquiries submitted via the contact form. Retained for two years from the date of your last contact with us, or until you request deletion, whichever is sooner.
  • Server logs. Retained by our hosting provider for as long as necessary for security and performance monitoring (typically 30 to 90 days).

Your rights

Under UK GDPR you have the following rights:

  • The right to be informed about how we use your data (this policy)
  • The right of access to a copy of the personal data we hold about you
  • The right to rectification of inaccurate or incomplete data
  • The right to erasure (the “right to be forgotten”)
  • The right to restrict processing
  • The right to data portability
  • The right to object to processing
  • The right to withdraw consent where processing is based on consent

Complaints

If you’re not happy with how we’ve handled your personal data, you have the right to complain to the Information Commissioner’s Office (ICO).

We would appreciate the chance to address your concerns before you contact the ICO, so please get in touch first if you can.

We may update this policy from time to time. Changes will be reflected on this page with an updated “Last updated” date. If we make significant changes we will notify you where reasonably possible.
